The Mode Question Comes First
CosmoLex documents a one-way QuickBooks Online integration, available on Core and Pro plans in the United States, that pushes data from CosmoLex into QuickBooks. The critical detail, in CosmoLex’s own words: when the integration is enabled, CosmoLex’s built-in Business Accounting and Matter Budgets features are not available.
The two modes are mutually exclusive. A firm running the integration has given up the native ledger. A firm not running it has no QuickBooks at all. Neither is wrong, but they are entirely different engagements, and we have met firms who did not know which one they were on.

What CosmoLex Does Not Do
Payroll. This is the most overstated part of the “replaces QuickBooks” claim. CosmoLex’s own support documentation says the easiest way to record payroll in CosmoLex is a journal entry — export the GL entry from your payroll processor and import or key it in — and notes that entering payroll is a complex bookkeeping function. Payroll runs in Gusto, ADP or similar, and someone has to journal it in correctly every single period. When that person is a busy attorney, wage, tax liability and accrual entries go missing.
Errors are permanent to the financials. On a QuickBooks-based stack a bookkeeper can correct downstream. Here, matter-level and firm-level accounting are the same records, so a misclassification is your financial statements, not a reporting inconvenience.
On the trust side CosmoLex is strong, and its own material describes one-click three-way reconciliation reporting, fiduciary reports, safeguards against ledger overdrafts and commingling, automatic transfer of earned funds from trust to operating, and handling so that credit card processing fees are not taken from client accounts — which addresses the most common trust violation in the profession.

1. Monthly Three-Way Trust Reconciliation
A three-way reconciliation compares three balances that must agree every month: the trust bank statement balance adjusted for outstanding items, the trust account journal or control ledger, and the sum of every individual client subsidiary ledger. State bar guidance — the California State Bar’s client trust accounting handbook is a widely used example — directs attorneys to perform it monthly, for each trust account, and to keep a written record proving it was done.
