FRONTSTEPS Caliber Bookkeeping Services & Association Accounting
FRONTSTEPS Caliber is the accounting core of the FRONTSTEPS suite — fund-based accounting, AP invoice processing, AR payment posting, special assessments and budgeting, with a native Caliber general ledger underneath. It is a real book of record for community associations, sitting inside a platform assembled from several acquired products. Real ledgers reward monthly discipline, and platform seams reward a bookkeeper who checks them. We do both.
Caliber Is the Ledger Inside the FRONTSTEPS Suite
FRONTSTEPS was assembled from several community-management products — the company rebranded to FRONTSTEPS in 2017 and brought Caliber, the financial engine founded in 2000, fully into the fold in 2019. The current suite spans FRONTSTEPS Caliber for financial management, FRONTSTEPS Community for resident engagement, FRONTSTEPS Payments, FRONTSTEPS Manager for back-office and mobile work, and newer tools like the ALLi AI budget studio.
For bookkeeping purposes the important part is documented plainly by the vendor: Caliber automates accounting with fund-based accounting, automated payment posting, budgeting, collections, AP invoice processing, AR payment posting and special assessments — and the vendor’s own product updates describe budgets built directly from Caliber GL data. Caliber is the book of record for the association’s financials, not a portal in front of QuickBooks.
Where FRONTSTEPS Books Go Wrong
Fund-based accounting is a capability, not a guarantee. Caliber supports fund-based accounting; whether reserve contributions stay off the income statement, reserve expenditures hit fund equity rather than a bank account, and inter-fund transfers get reported as transfers still depends entirely on how each association’s books are kept. A separate bank account is not fund accounting — a fund is a self-balancing set of accounts with its own fund balance.
The suite has seams. FRONTSTEPS has been actively moving AR workflows — billing entry, homeowner ledger viewing, deposit entries — into FRONTSTEPS Manager alongside Caliber, which means association workflows can straddle two applications mid-transition. Payments posted in one surface need to be verified as posted, once and only once, in the ledger.
Special assessments and collections at portfolio scale. Caliber handles special assessments and collections; at management-company volume, the recurring failure is special-assessment cash and receivables blending into operating, and delinquency reports drifting from the owner ledgers behind them.
Acquired-platform history. Associations that arrived on Caliber through the platform’s various predecessor products carry conversion-era opening balances. If they never tied, they still do not.
Core FRONTSTEPS Caliber Bookkeeping Functions We Manage
1. Fund Accounting Discipline
Operating and reserve funds maintained as self-balancing funds in Caliber, contributions kept off the income statement, expenditures charged against fund equity, and transfers reported as transfers.
2. AR, Assessments and Delinquency
Assessment billing and payment posting verified into the ledger, special assessments tracked so their cash and receivable stay identifiable, late fees applied per policy, and delinquency reports proved back to owner ledgers.
3. AP and Vendor Management
Invoice processing through Caliber’s AP workflow, documented approvals, vendor records kept clean, and year-end 1099 filing across every association.
4. Bank Reconciliation and the Manager-Caliber Seam
Every association account reconciled monthly, with payments and deposits that enter through FRONTSTEPS Manager or Payments verified as posted correctly — once — in the Caliber GL.
5. Budgets and Board Packages
Budget-versus-actual maintained against the Caliber GL, ALLi-drafted budgets reviewed by a human before the board sees them, and board financial packages delivered on schedule.
The FRONTSTEPS Rescue: Proving the Ledger Behind the Portal
The typical engagement is a management company or self-managed board that trusts the portal but cannot prove the ledger: delinquency reports that contradict owner ledgers, reserve activity running through the income statement, and a backlog of unreconciled bank items accumulated across a portfolio.
We reconcile every account back to a known-good point, prove owner ledgers to the receivable, segregate special-assessment activity, reclassify reserve contributions and draws so the fund balances mean something, and tie conversion-era opening balances that were never tied. Then we run the monthly cycle so the board package goes out on time and right.

Why Outsource Your FRONTSTEPS Bookkeeping to Maxim Liberty?
Association books carry fiduciary weight, and platforms in transition need a bookkeeper who verifies rather than assumes. We have kept US books since 2005, we are BBB A+ accredited, and we work inside Caliber as an independent firm — your books answer to your board or management company, not to a software contract.
Plans start at $75/month; dedicated bookkeepers are $15/hour for businesses and $10/hour for CPA firms and management companies who white-label our team. Your first deposit carries a 100% money-back guarantee, so the board can test the work with little to no risk. See pricing or our HOA accounting services.
Frequently Asked Questions About FRONTSTEPS Caliber Bookkeeping
Does FRONTSTEPS Caliber need QuickBooks?
No. Caliber is the accounting engine of the FRONTSTEPS suite, with fund-based accounting, AP, AR and budgeting running on its own Caliber general ledger per the vendor’s documentation. It is the book of record for the association — no QuickBooks integration is documented, and none is needed.
Is Caliber still a separate company?
No. Caliber, founded in 2000, was brought fully into FRONTSTEPS in 2019 and is now branded FRONTSTEPS Caliber, the financial-management product of the suite alongside FRONTSTEPS Community, Payments, Manager and Dwelling. References to standalone “Caliber Software” are outdated.
Can you keep our reserves properly separated in Caliber?
Yes. Caliber supports fund-based accounting; we supply the discipline — reserve contributions off the income statement, expenditures charged against the reserve fund’s equity, transfers reported as transfers, and a reserve balance the board can trust.
We use FRONTSTEPS Manager for billing and Caliber for accounting. Is that a problem?
It is a checkpoint, not a problem. FRONTSTEPS has been expanding AR workflows in Manager alongside Caliber, so payments and billing entries cross an application seam on their way to the ledger. We verify monthly that everything entered on one side posted correctly — once — on the other.
