SERVING MISSOURI FROM KANSAS CITY TO ST. LOUIS · SINCE 2005

Missouri Bookkeeping Services

Last Updated: October 6, 2026

Missouri has one of the most fragmented sales-tax maps in the country and two cities that tax earnings. The state rate is 4.225%, and on top of it sit county rates, city rates and a dense layer of special districts — transportation development districts, community improvement districts, fire districts — so the rate can change across a car park, let alone across a county. Separately, Kansas City and St. Louis both levy a 1% earnings tax on residents and on non-residents working in the city, with employer withholding attached. Neither problem is solvable from a monthly revenue total; both need transaction-level and employee-level records.

Missouri Department of Revenue, City of Kansas City and City of St. Louis, checked 3 October 2026. Special-district rates change frequently and earnings-tax rules are set by each city — confirm current rates with the Department, the relevant city, or your CPA.

Special Districts Make the Rate a Per-Address Question

Missouri allows an unusually rich set of local add-ons. Beyond county and city rates, individual developments can sit inside a transportation development district or a community improvement district, each adding its own increment. The practical result is that two shops a few hundred metres apart can charge different rates, and a single retail park can differ from the street outside it.

For a business with one location this is a configuration problem you solve once and then verify. For anyone delivering or operating across the state it is a per-transaction question, and no amount of care at quarter end will reconstruct it.

Our part is capturing the rate charged on each transaction and reconciling tax collected against tax remitted every month, so a mis-set rate shows up as a variance within weeks rather than as an assessment years later.

Two Cities Tax Earnings — and Hybrid Work Moved the Line

Kansas City and St. Louis each levy a 1% earnings tax on residents and on non-residents for work performed within the city, collected largely through employer withholding. St. Louis also charges employers a payroll expense tax.

One per cent sounds trivial until you consider the base: it applies to gross earnings, and in a metro where a large share of the workforce lives outside the city limits and works inside them, the non-resident apportionment matters. Hybrid working made that genuinely unstable — days worked inside the city versus at home outside it is now a variable, not a constant.

We are not going to tell you how to apportion; that is a city-specific determination for your CPA. What we do is keep payroll records that capture work location, hold the earnings-tax liability in its own account, and reconcile it monthly to what was actually remitted. Payroll processing is $50 per run plus $10 per employee.

No LLC Annual Report — and No Annual Prompt

Missouri generally does not require LLCs to file an annual registration report, unlike corporations. That is a genuine saving in fees and admin.

It has the same side effect we see in Arizona: nothing in the calendar forces an annual look at the entity and its records. In states with a yearly filing, that filing is a prompt. Remove it and a business can go two or three years without anyone formally reviewing anything — while sales tax and earnings tax accrue every month.

A monthly close is the substitute. At $75/month with five hours included, it costs considerably less than the catch-up it prevents.

Missouri Bookkeeping FAQs

Why do Missouri sales tax rates vary so much?

Because the state rate of 4.225% is only the base, and counties, cities and special districts all add to it. Transportation development districts and community improvement districts can apply to individual developments, so the correct rate can differ between neighbouring addresses. That is why the rate has to be captured per transaction rather than applied from a single figure.

What is the Kansas City earnings tax?

A 1% tax on the earnings of city residents and of non-residents for work performed within Kansas City, collected largely through employer withholding. St. Louis operates a similar 1% earnings tax and additionally charges employers a payroll expense tax. Confirm current rules and rates with the relevant city or your CPA.

Our staff work partly from home outside Kansas City. How does that affect the earnings tax?

It can affect the non-resident apportionment, and that is exactly the kind of determination that needs a CPA rather than a bookkeeper. What it certainly affects is your records: if where work was performed is not captured at the time, the apportionment cannot be supported later. We record work location as a matter of routine for this reason.

Do Missouri LLCs file an annual report?

Generally no — corporations file an annual registration report with the Secretary of State, but LLCs typically do not. The saving is real, though it removes the yearly prompt that makes owners in other states review their books, which is why Missouri businesses that fall behind tend to fall a long way behind.

Do you have offices in Missouri?

No, and we would rather say so plainly than imply otherwise.
