North Dakota Bookkeeping Services

Last Updated: October 6, 2026

North Dakota’s bookkeeping difficulty is concentrated in two places: the oil patch and the farm. Sales tax is straightforward — a state rate with city and county additions, and a cap on the local portion of large purchases in some jurisdictions. What is not straightforward is oil and gas revenue, which arrives as royalty and working-interest payments net of deductions and gross production taxes withheld at source, and agricultural accounting, where costs and revenue fall in different seasons. Both produce books that are wrong in ways a bank statement will never reveal.

Never Book the Net Cheque

This is the single most valuable thing on this page. Royalty and working-interest payments arrive after deductions for gathering, processing, transportation and marketing, and after gross production taxes have been withheld. The amount that reaches your bank is not your revenue.

Recording the deposit as revenue does three things, all bad. It understates gross income. It hides the deductions entirely, so you cannot tell whether they are reasonable or whether they have crept up. And it hides the tax withheld, which you may need to account for.

We book these gross — full revenue recognised, with deductions and withheld taxes recorded in their own accounts — so that the operator’s statement can be reconciled rather than accepted on trust. Interest owners who have never done this are routinely surprised by what the deductions actually total across a year.

Farm Costs and Revenue Do Not Share a Season

Agricultural books fail differently from ordinary business books. Inputs are bought in one season for a crop realised in another. Grain may be sold under deferred contracts paying in a later year. Equipment is long-lived and often financed. Revenue arrives in a few large events.

On a cash basis, that produces a picture that swings wildly for reasons unrelated to how the operation is actually performing — a year with heavy prepaid inputs looks disastrous, the next looks excellent.

Useful agricultural records track costs by enterprise or field, match inputs to the season they belong to, and record deferred contracts as the obligations they are. That is what turns accounts into something a lender will lend against rather than a tax by-product.

Boom-Town Cost Structures

Businesses serving the oil patch — trucking, housing, services, supply — have cost structures that move faster than most. Labour costs spike with activity, equipment utilisation swings, and revenue can be concentrated in a handful of customers whose own activity is cyclical.

Two bookkeeping consequences follow. Job or customer-level costing matters more than usual, because an average margin across a volatile portfolio tells you almost nothing. And receivables concentration needs watching: a receivable from one large operator is a different risk from the same amount spread across twenty customers.

Job costing and class tracking sit on our Enterprise plan at $300/month for 20 hours, and A/R ageing comes as part of the monthly close on every plan.

North Dakota Bookkeeping FAQs

How should oil and gas royalty payments be recorded?

Gross, with deductions and gross production tax withheld recorded in their own accounts — not as the net amount that arrived in the bank. Booking the net cheque understates revenue, hides the deductions so you cannot tell whether they are reasonable, and makes the operator’s statement impossible to verify.

Can you handle farm bookkeeping?

Yes. The work that matters is costs tracked by enterprise or field, inputs matched to the season they relate to rather than the month they were paid, deferred contracts recorded as obligations, and equipment properly capitalised. Cash-basis records make a farm look alternately disastrous and brilliant for reasons that have nothing to do with the farming.

What is the cap on local sales tax for large purchases?

Some North Dakota jurisdictions cap the local portion of sales tax on large purchases. Whether it applies, and at what threshold, depends on the jurisdiction — confirm with the Office of State Tax Commissioner or your CPA. The practical point is to make large purchases identifiable in your ledger so the question can be asked at all.

We serve the oil patch and our margins swing wildly. What helps?

Job or customer-level costing, because an average margin across a volatile portfolio is meaningless, and close attention to receivables concentration, because one large operator owing you money is a different risk from the same total spread across many customers. Both come out of the monthly close rather than being special projects.

Do you have offices in North Dakota?

No, and we would rather say so plainly than imply otherwise.
