How to Categorize Notion in QuickBooks and Xero
Last Updated: October 5, 2026Notion is almost always bought bottom-up, which is why it is so often missing from the books. A team starts on the free plan, upgrades on somebody’s card, adds guests and AI, and the charge appears months later on an expense claim or not at all. The categorisation is trivial. Knowing the subscription exists is the actual problem.
The Short Answer
| What the charge actually is | A per-member workspace subscription, often with an AI add-on billed per member on top, plus guest allowances on higher plans. |
| Where it belongs | Software subscriptions. |
| QuickBooks Online default | Office Expenses or a custom Software and Subscriptions. |
| Xero default | Subscriptions. |
| Expense or balance sheet | An expense; an annual plan paid up front is a prepayment if material. |
| Bank feed descriptor | Commonly contains NOTION with a billing reference. AI add-ons usually arrive on the same charge rather than separately. |
Bottom-Up Software and the Shadow Stack
Tools adopted by teams rather than bought by the business create what is effectively a shadow software stack: real recurring costs that no single person has a list of.
Three symptoms we see in inherited books. Subscriptions on personal cards, claimed irregularly or never. Subscriptions on an owner’s card, recorded as a business expense with no matching due-to-owner entry. And subscriptions paid from a card nobody reconciles, so they are simply absent.
The accounting answer is small: record the expense and the amount owed to whoever paid. The useful answer is a list of every recurring software charge, reviewed annually. Producing that list is one of the more immediately valuable things a bookkeeper can hand an owner, because almost nobody has it and almost everybody is paying for something they stopped using.
Per-Member Add-Ons Double the Rate
Notion’s AI add-on is charged per member, which means enabling it does not add a line item — it changes the effective per-seat rate for everyone.
So the bill can rise sharply with no change in seat count, which looks like an error. It is worth noting on the transaction when an add-on is switched on, because otherwise the increase is unexplainable six months later and someone spends an hour on it.
Notion Categorisation FAQs
Where should Notion go in the chart of accounts?
Software subscriptions. The harder question is usually not where it goes but whether it is in the books at all — tools adopted bottom-up are frequently paid on personal cards and claimed irregularly, so the cost is understated and the subscription is unmanaged.
Why did our Notion bill jump without adding people?
Most likely an add-on. Notion’s AI is charged per member, so switching it on changes the effective rate for every seat rather than adding one line. Noting the change on the transaction at the time saves someone an hour of investigation six months later.
This page is about where the transaction belongs in your books.
