Suspense Account

Last Updated: October 5, 2026

A suspense account holds a transaction you cannot yet identify, so the books can balance while you find out what it was. It is a legitimate and useful tool for exactly as long as someone is actively working to empty it. A suspense balance carried for months is not bookkeeping — it is a list of unanswered questions sitting on the balance sheet.

The Legitimate Use

A payment leaves the bank with a descriptor nobody recognises. A deposit arrives from an unidentified source. A transaction is clearly business but nobody can say which job, customer or category it belongs to.

You have two bad options and one good one. Guessing a category puts a wrong figure into a real account where it will never be found again. Leaving the item out breaks the bank reconciliation. Suspense is the third option: record it, let the bank reconcile, and keep the item visible until it is resolved.

The visibility is the entire value. An item in suspense is a flagged question. The same item guessed into Office Supplies is a silent error.

What Goes Wrong

Nobody empties it. The balance grows month on month and the account becomes a graveyard. At that point it is actively harmful, because real figures are missing from the accounts they belong in and the balance sheet carries a meaningless line.

It is used as a default. Suspense is for items that are genuinely unidentified, not for items that are mildly inconvenient to code. If it is being used because asking the client is tedious, the account will never clear.

It is cleared with a journal. Writing the balance off to an expense account at year end makes the account look tidy and leaves every underlying error in place — and it usually ends up in whatever account is least scrutinised.

How to Keep It Honest

Three habits. Every item in suspense carries a note saying what is unknown and who can answer it. The account is reviewed every month as part of the close, not at year end. And it is expected to be empty at the year end, with anything remaining escalated rather than journalled away.

On our engagements, items in suspense come back to the client as a short list of specific questions. Most are answered in a sentence, and the account clears. The ones that cannot be answered are the ones worth knowing about.

Suspense Account FAQs

Is it bad practice to use a suspense account?

No — using one is better than guessing a category or leaving a transaction out. What is bad practice is leaving a balance in it. Suspense keeps an unidentified item visible so it can be resolved; the problem begins when nobody is working to empty it.

Can I just write off an old suspense balance?

You can, and it leaves every underlying error in place while making the account look tidy. The balance represents specific transactions whose correct treatment is unknown, so writing it off puts those amounts in whatever account you chose, usually the least scrutinised one. Resolving the items is the only real fix.
