How to Categorize ADP in QuickBooks and Xero
Last Updated: October 5, 2026ADP usually debits a business several separate times, and the amounts do not map onto accounts the way people assume. One debit covers net pay. Another covers taxes. Another covers ADP’s own fees. Some configurations combine them. Posting whichever debit arrives to Payroll Expenses overstates wages, hides employer taxes, and leaves withheld tax — which is not your money — with nowhere to sit.
The Short Answer
| What the charge actually is | Net pay, employee tax withheld, employer payroll taxes, garnishments and deductions, benefit premiums, and ADP service fees — split across one or several debits. |
| Where each belongs | Wages → wages expense. Employer taxes → payroll tax expense. Withheld amounts and deductions → liability. ADP fees → professional fees or software. |
| QuickBooks Online default | Payroll Expenses: Wages, Payroll Expenses: Taxes, Payroll Liabilities, and Legal & Professional Services for the fee. |
| Xero default | Wages and Salaries, Payroll Tax Expense, a payroll liability account, and Accounting or Professional Fees for the fee. |
| Expense or balance sheet | Both. Wages, employer taxes and fees are expenses. Withholdings, garnishments and employee deductions are liabilities. |
| Bank feed descriptor | Commonly contains ADP with a payroll, tax or fee reference. The reference is the only thing distinguishing the debits. |
Work From the Payroll Register, Not the Bank
The payroll register is the source document. It shows gross pay, each withholding, each employer tax and each deduction. The bank debits are just the money movements that settle it.
Books built from the debits will always be approximate, because the debits are grouped for ADP’s convenience, not yours. Books built from the register are exact, and the debits then simply reconcile against the liabilities the register created.
This is also what makes payroll auditable. If withheld tax passes through a liability account, you can prove it was remitted. If it was posted straight to an expense, you cannot — and payroll tax liabilities are the ones authorities pursue hardest, because the money was never the business’s to use.
Fees Are Not an Employment Cost
ADP’s service fees are the cost of administering payroll, not of employing people. Inside Payroll Expenses they inflate what looks like employment cost, which matters if you track labour as a percentage of revenue or benchmark against anything.
Professional fees or software — either is defensible. Consistency and separation from wages are what count.
ADP Categorisation FAQs
Why are there several ADP debits each pay run?
Because ADP typically separates net pay, tax remittances and its own fees, and some configurations group them differently. The grouping suits ADP’s processing, not your chart of accounts — which is why the payroll register, not the bank feed, should be the source for the entries.
Where do employee withholdings go?
To a liability account until remitted. Withheld income tax and employee-side payroll taxes are not your money; they are held on behalf of the authorities. Posting them to an expense account means you cannot demonstrate they were remitted, and these are the liabilities regulators pursue most aggressively.
Should ADP fees sit in payroll expenses?
Better not. They are the cost of administering payroll rather than of employing people, so leaving them in Payroll Expenses inflates apparent employment cost and distorts labour-cost percentages. Professional fees or software both work, provided you are consistent.
