Opening Balance Equity
Last Updated: October 5, 2026Opening Balance Equity is a QuickBooks account that holds the difference when opening balances are entered and do not balance. It is meant to be temporary and empty. A permanent balance in it means your books were set up with an unexplained difference, and that difference is still there.
Why It Appears
When a QuickBooks file is created, you enter opening balances for bank accounts, loans, receivables, payables, inventory and fixed assets. Those balances rarely add up by themselves, because the equity side is the part people do not have to hand.
Rather than refuse the entry, QuickBooks puts the difference into Opening Balance Equity so the file can balance and work can start. That is a reasonable design decision and a reasonable temporary state.
The intention is that the balance is then analysed and moved to where it actually belongs — retained earnings, owner capital, or a correction to one of the opening balances that was wrong. In practice, that step is skipped more often than it is done.
What a Lingering Balance Tells You
It tells you that at the moment your file was set up, the numbers did not reconcile and nobody found out why. Everything since then has been built on that foundation.
Usually it is one of a few things: an opening bank balance taken from the wrong date, receivables or payables entered without the matching equity, inventory valued differently from the prior records, a loan entered without its accumulated interest, or simply prior-year retained earnings never brought across.
None of those are catastrophic individually. All of them mean a figure on your balance sheet is wrong, and the longer it sits, the harder it is to establish which one it was.
What Goes Wrong
It is journalled to retained earnings without investigation. The account looks clean and the error simply moves somewhere less visible.
It is left for years. Every balance sheet the business produces carries a line that means “unexplained”, which is exactly what a lender or buyer will ask about first.
More is added to it. Some users post later corrections here because it feels like a scratch account. It is not; it is a setup artefact, and adding to it compounds the original problem.
Resolving it properly is part of a QuickBooks cleanup, and it is usually the first thing we test on a file we did not set up.
Opening Balance Equity FAQs
Can I just journal Opening Balance Equity to retained earnings?
You can, and it makes the account look clean while moving an unexplained difference somewhere less visible. The balance exists because specific opening figures did not reconcile; identifying which one was wrong is the only fix that actually corrects the balance sheet. Sometimes the answer genuinely is prior-year retained earnings — but that should be a conclusion, not an assumption.
Is a balance in Opening Balance Equity always an error?
Effectively yes, if it has persisted. The account is designed as a temporary holding place while a file is being set up, and it is meant to be analysed and cleared. A lingering balance means the books were built on a difference nobody explained, and it is the first thing a lender or buyer reading your balance sheet will query.
